Background: Ujyalo Foundation is a young organization with its new projects and programs. As a result, all team members need to be pro-active and flexible with a can-do attitude, supporting team members and being prepared to step into different roles.

The Foundation has series of programs where the individual will be responsible for assisting the organization in the development and implementation programs and projects. It a supportive role that requires one to work efficiently on both team-based and independent projects/programs. It also requires coming up with creative ideas and assisting in the growth and development of the organization.

I. Program Lead (LIFE Project) (Full Time)

About LIFE: The Foundation has been designing various programs to foster gender inclusive leadership in Nepal. Living in Full Exposure (LIFE) is one of the programs of Ujyalo Foundation that started since September 2016. The core idea of the program is to create a safe environment for women and girls in Nepal by implementing programs that trigger social and cultural transformation to ensure positive attitude and behavior towards women and girls.

It also looks for a safe reporting platform to report GBV without the fear of social stigmatization and retaliation from the perpetrators..

The primary role of LIFE Project Lead is to involve in LIFE program activities with Program Manager. The person will also be involved in the post LIFE monitoring and evaluation.

 

Roles and Responsibilities

  • Work with LIFE Program Officer, Manager, and Executive Director along with other team members.
  • Plan and execute project activities with LIFE Program Officer.
  • Provide guidance and advice to the programs management team on issues of gender mainstreaming in projects.
  • Network and maintain dialogue with relevant stakeholders e.g. Government Institutions, National and International Development Organizations to ensure collaboration, synergy and sharing of experiences on gender issues.
  • Document and produce reports of the project activities; Also, creatively come up with information sharing mechanisms both within and out the organization
  • Lead training workshops based on the need of the project in supervision of the LIFE Program Officer.
  • Develop indicators to track the performances in the project
  • Monitor and evaluation post LIFE project and produce documents
  • Identifying training needs and organize trainings in gender mainstreaming.
  • Work as per the need of the organization

Qualifications

  • At least a Bachelor’s Degree in Development studies, Sociology, Rural development, or related studies. A Master’s Degree in related studies will be an added advantage.
  • At least 1 year’s proven and progressive experience working on project management, managerial skills, and gender and women empowerment issues. Experience of a workshop facilitator will be an advantage.
  • Good networking and alliance building skills
  • Knowledge of effective resource mobilization skills.
  • Fluency in English and Nepali.
  • Excellent Communicator orally and in writing.
  • Innovative, self-driven and team player
  • Proficient in Microsoft Suite Office.
  • Ability to work effectively both independently and in a team based environment.
  • Demonstrate willingness to be flexible and adaptable to changing priorities.
  • Strong multi-tasking and organizational skills.

II. Operations Officer (Full time position)

Reports to: Manager

Work Days/hours: 40 hours per week.

Roles and Responsibilities:

Core:

Oversee Admin, Operations and Finance:

  • Monitor and manage the overall operations of the organization based on both Human Resources and Finance
  • Create and manage procurement of needed materials based on both organizational needs and project needs. Deal with various vendors (existing and new) based on the need and requirement of the programs/projects and the organization. This includes the procurement process that has been followed in the Foundation
  • Plan, oversee and arrange program-based logistics for smooth and efficient operations
  • Oversee the financial related reports extracted from the software apart from Petty Cash Management. Check and make for reimbursement requests by the team members.
  • Track and ensure recurrent expenditures and program related expenses like payroll, rent and utilities are timely paid. Also, periodically check the credit status of vendors and accordingly make the payments too.
  • Lead and maintain banking related matters as per need
  • Develop, maintain and monitor all fundraising and accounting systems and procedures capturing all pledges, billings and receipts and for the recording of all revenue transactions, recommend and implement improvements to systems
  • Prepare annual audit and be a liaison with all outside vendor
  • Manage and oversee annual financial budget
  • Manage grantor contracts and Maintain archival and administrative files
  • Organize of fiscal documents
  • Assist and lead the fundraising related activity conducted by the Foundation
  • Monitor the reports related to Human Resource that includes daily biometric attendance, leaves, trainings and so on. Be receptive to new approaches to report preparations to be shared to senior management team

Team Supervision and Management:

  • Responsible to initiate and conduct team development related activities
  • Supervise the Admin, Finance and Operations unit
  • Become the focal person for orienting new person in the organization and conduct orientation as per the organization’s process
  • Regular interaction with the various program team members to smoothen the internal operations including the introduction of creative approaches for team members’ well being in the organization
  • Work based on the need and requirement of the Ujyalo Team

Communication and Documentation

  • Communication with all levels of employees (from volunteer/intern to Executive Director including Nepal Board of Directors)
  • Provide strategic ways to ease the overall operations of the organization to the management
  • Ensure strong and timely documentation from human resource to finance and logistical aspects
  • Work based in the organizational needs

Required qualifications

  • At least Bachelor’s degree in management/social science or any other relevant field
  • Minimum of 2 years of progressively responsible professional work experiences in management.
  • Familiarity with and a supportive attitude towards processes of institutional strengthening
  • Excellent spoken and written English.
  • High integrity, strong result orientation and drive for excellence and initiative taking.
  • Good communication skills.
  • Excellent communication and analytical skills.
  • Be a team player and have client focus.
  • Good interpersonal skills and result orientation.
  • Work experience with MS Office applications is a must.

III. Program Associate (Full time)

Reports to: Project Lead 

Working hours: 40 hrs/week

Roles and Responsibilities

Planning, Communication and Outreach

  • Responsible to plan ahead in order to reach to various stakeholders such as colleges, organizations and various groups in order to conduct outreach session
  • Contact and periodically follow-up stakeholders before and after the conduction of outreach session
  • Use social media like facebook, Instagram and twitter to reach to the targeted audience and also find creative ways to regularly update the page/group

Session Coordination

  • Plan and schedule the session with Program Lead
  • Monitor the participants’ in the session activities during the sessions. Also, able to facilitate participants in using the app and workout for smooth conduction of outreach session.
  • Arrange necessary logistics for each session including photography, infographics, registration sheets and evaluation form.

Documentation

  • Post session documentations in various forms such digitalization of registration and evaluation form, pluses and deltas, reflection report and so on.
  • Maintain record file of each outreach session documents
  • Work based on the need and required of the program and organization

Required Qualifications

  • At least a Bachelor’s Degree in Development studies, Sociology, Rural development, or related studies.
  • At least 1 year’s proven and progressive experience working on program or project or event management, coordination. Experience of working with schools will be an advantage.
  • Knowledge of effective resource mobilization skills.
  • Excellent Communicator orally and in writing.
  • Innovative, self-driven and team player
  • Proficient in Microsoft Suite Office.

INTERNSHIP 

A. Program Intern (Paid)

Reports to: Program Leader

Work Days/hours: Fulfill 40 hours a week.

Roles and Responsibilities

  • Assist with and attend events and meetings
  • Assist the senior subordinates and board with planning and organizing events and projects
  • Engage in creative use of social media and documentation
  • Provide support in documentation of the programs
  • General office support including: data entry, filing, etc.
  • Maintain professional appearance when interacting with the public and partner agencies
  • Provide additional support as needed by organization

Measurable Outputs and Performance Indicators

  • Programs and/or activities assisted or led
  • Reports produced or assisted
  • Team supported

Required qualifications

  • Bachelors passed in social science/management or in any discipline
  • Fresh candidates; Short term experiences in programs is preferable
  • Excellent spoken and written English with Nepali typing as a plus point

B. Administrative and Operations Intern  (Paid)

About the Role: The individual appointed in this position will work with the Manager, Project Coordinator, Program Officer and other team members and will share ideas and information in timely manner as listed in the job description. Based on the performance of the individual and the vacant positions available in the organization he/she shall be considered for a full time position in the organization.

Reports to: Finance and Operations Associate /Accountant/ Manager

Work Days/hours: Fulfill 40 hours a week.

Roles and Responsibilities

  • Work under the supervision of Manager, Accountant and Finance and Operations Associate and must follow the accounting or auditing process
  • Collect, understand, process, verify and report accounting related-information to his/her supervisor
  • Assistance may be required in the preparation of periodic financial reports
  • Manage specialized information, reports, forms dealing with fees, billing, tracking of projects etc.
  • Data entry, filing, spreadsheet management
  • Involve in the procurement procedures for the organization
  • Conduct independent research on venues, guests, etc. as directed.
  • Update database for venue contacts and fee engagements
  • Provide additional support as needed by organization

Measurable Outputs and Performance Indicators

Required qualifications

  • Bachelors passed in management or in any discipline
  • Fresh candidates; Short term experiences in admin and operations is preferable
