Background: Ujyalo Foundation is a Nepali NGO established in 2014 to empower community through innovation and gender inclusive leadership. The main focus of the organization is to create innovative programs to promote women leadership and respectful gender dynamics in Nepal.

I. INTERNSHIP 

A. Administrative and Operations Intern  (Paid)

About the Role:

Ujyalo Foundation is a young organization with its new projects and programs. As a result, all team members need to be pro-active and flexible with a can-do attitude, supporting team members and being prepared to step into different roles.

The Foundation has series of programs where the individual will be responsible for assisting the organization in the development and implementation programs and projects. It a supportive role that requires one to work efficiently on both team-based and independent projects/programs. It also requires coming up with creative ideas and assisting in the growth and development of the organization.

The individual appointed in this position will work with the Manager, Project Coordinator, Program Officer and other team members and will share ideas and information in timely manner as listed in the job description. Based on the performance of the individual and the vacant positions available in the organization he/she shall be considered for a full time position in the organization.

Reports to: Finance and Operations Associate /Accountant/ Manager

Work Days/hours: Fulfill 40 hours a week.

Roles and Responsibilities

  • Work under the supervision of Manager, Accountant and Finance and Operations Associate and must follow the accounting or auditing process
  • Collect, understand, process, verify and report accounting related-information to his/her supervisor
  • Assistance may be required in the preparation of periodic financial reports
  • Manage specialized information, reports, forms dealing with fees, billing, tracking of projects etc.
  • Data entry, filing, spreadsheet management
  • Involve in the procurement procedures for the organization
  • Conduct independent research on venues, guests, etc. as directed.
  • Update database for venue contacts and fee engagements
  • Provide additional support as needed by organization

Measurable Outputs and Performance Indicators

  • Admin and Operations works assisted and/or led
  • Report preparations
  • Team supported

Required qualifications

  • Bachelors passed in management or in any discipline
  • Fresh candidates; Short term experiences in admin and operations is preferable
  • Excellent spoken and written English with two wheeler license holder as a plus point

B. Program Intern (Paid)

Reports to: Program Officer/Program Coordinator

Work Days/hours: Fulfill 40 hours a week.

Roles and Responsibilities

  • Assist with and attend events and meetings  
  • Assist the senior subordinates and board with planning and organizing events and projects  
  • Engage in creative use of social media and documentation
  • Provide support in documentation of the programs
  • General office support including: data entry, filing, etc.
  • Maintain professional appearance when interacting with the public and partner agencies
  • Provide additional support as needed by organization

Measurable Outputs and Performance Indicators

  • Programs and/or activities assisted or led
  • Reports produced or assisted
  • Team supported

Required qualifications

  • Bachelors passed in social science/management or in any discipline
  • Fresh candidates; Short term experiences in programs is preferable
  • Excellent spoken and written English with Nepali typing as a plus point

II. Finance Officer 
About the Role:

Ujyalo Foundation is a young organization with its new projects and programs. As a result, all team
members need to be pro-active and flexible with a can-do attitude, supporting team members and being
prepared to step into different roles.

The programs and projects at Ujyalo Foundation have been organically developed with constant review,
reflection, and lessons learnt and best practices over the years. While the Foundation has developed
programs and has been expanding, the financial transactions have also increased drastically over the
years.

With the organization’s aim to strengthen the financial aspects so as to create an accountable and
transparent financial documentation and share with its community stakeholders including individual,
group and institutional donors, the Foundation is in search of a dedicated and motivated individual who
could push to a greater height.
Reports To: Executive Director and Manager

Work Days/hours: Thirty working days (including weekends) and minimum 40 hours.
Roles and Responsibilities:

  • Ensures that adequate financial controls are in place to maintain propriety and proper
    accountability of expenditures.
  • Ensures the financial transactions are properly authorized, recorded, have adequate supporting
    documentation, filled, maintained and can be easily extracted for the purpose of preparing
    financial statements; and financial audits.
  • Monitors budgets and expenditures and contribute to preparation of budget revision.
  • Prepares and submits timely and reliable financial documents and financial reports.
  • Prepares project financial reports, statement and submit to supervisor for clearance and Ujyalo
    Foundation as required.
  • Establishes a computer based monitoring system for expenditures.
  • Checks and ensures that all procurement process and expenditures of the project in accordance
    with the organizational procedure. This includes ensuring receipts to be obtained for all payment.
  • Checks budget lines to ensure that all transactions are booked to the correct budget lines.
  • Providing and interpreting financial information.
  • Analyzing change and advising accordingly.
  • Formulating strategic and long-term plans.
  • Researching and reporting on factors influencing organizational financial performance.
  • Liaising with auditors to ensure annual monitoring is carried out.
  • Lead yearly organizational renewal procedures.
  • Responsible for project procurement processes.
  • Responsible for any financial tasks related to organization of conferences, workshops, retreats and so forth.
  • Carry out any other financial assignments as requested by the Executive Director.

Measurable Outputs and Performance Indicators

  • Preparation of weekly, monthly and quarterly reports and creative info graphs;
  • Institutions and individuals outreached with meeting and sessions conducted;
  • Downloads of app made;
  • Program activities led and conducted with creativity and effectiveness.

Required qualifications

  • A Bachelor’s degree in Management or related field.
  • At least 1.5 years relevant continuous work experience in finance and administrative functions.
  • Experience with donor-funded projects will be an added advantage.
  • Demonstrated experience in procurement and preparation of financial reports and budget variance
    analysis.
  • High integrity, strong result orientation and drive for excellence and initiative taking.
  • Good communication skills.
  • Excellent communication and analytical skills.
  • Be a team player and have client focus.
  • Good interpersonal skills and result orientation.
  • Work experience with MS Office applications is a must.
