The Admin Finance and Operations Associate will directly work with the Director of Operations to strengthen and enhance internal and external administration and operations of the organization. The Associate will produce reports, maintain petty cash accounts, and manage day to day operations of the organization. The ideal candidate for this position is an individual who is meticulous, organized, and with a robust understanding of administrative work at an organization.
Reports to: The Director of Operations
ROLES AND RESPONSIBILITIES
- Monitor and manage the overall day to day operations and finance of the organization.
- Create and manage procurement of needed materials based on both organizational needs and project needs.
- Manage various vendors (existing and new) based on the need and requirement of the programs/projects and the organization. This includes the procurement process that has been followed in the Foundation.
- Plan, oversee and arrange program-based logistics for smooth and efficient operations.
- Track and ensure recurrent expenditures and program related expenses like payroll, rent and utilities are timely paid. Also, periodically check the credit status of vendors and accordingly make the payments too.
- Maintain banking related transactions as per need.
- Manage internal and external purchase orders.
- Maintain and monitor all fundraising and accounting systems and procedures capturing all pledges, billings and receipts and for the recording of all revenue transactions, recommend and implement improvements to systems.
- Manage grantor contracts and maintain archival and administrative files.
- Organize fiscal documents.
- Assist and lead the fundraising related activity conducted by the Foundation.
- Monitor the reports related to Human Resource that includes daily biometric attendance, leaves, trainings and so on. Be receptive to new approaches to report preparations to be shared to senior management team.
Communication and Documentation
- Ensure strong and timely documentation from human resource to finance and logistical aspects.
- Ensure effective communication to the team members regarding finance and operations.
- Manage all financial and operations related documents and reports.
- Work based on the organizational needs.
REQUIRED QUALIFICATION
- At least Bachelor’s degree in Business or Management or any other relevant field.
- Minimum of 1 year of progressively responsible professional work experiences in management.
- Familiarity with and a supportive attitude towards processes of institutional strengthening.
- Excellent communication skills, and proficiency in both English and Nepali.
- Keen analytical skills, solution oriented and problem solving skills to have sound decision making skills
- Able to work in a team and independently.
- Good interpersonal skills and result orientation.
- Work experience with MS Office applications is a must.
