The Office Manager will directly work with the Executive Director to strengthen and enhance internal and external administration and the operations of the organisation. They will produce reports, maintain petty cash accounts, and manage day to day operations. The ideal candidate for this position is an individual who is meticulous, organised, and with a detailed understanding of administrative work at an organisation.

ROLES AND RESPONSIBILITIES:
- Monitor and manage all day to day operations of the organisation.
- Oversee all human resource policies/trainings/activities
- Manage the office calendar
- Schedule all meetings and arrange meeting spaces
- Plan, oversee and arrange program-based logistics for smooth and efficient operations
- Organise all office operations and procedures
- Establish a historical reference for the office by outlining procedures for protection, retention, record disposal and retrieval
- Be responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Responsible for all staff recruitment and their orientation and training
- Participate actively in the planning and execution of all the organisation’s events
- Coordinate staff activities to ensure maximum efficiency
- Evaluate and manage staff performance
- Ensure security, integrity and confidentiality of data
- Design and implement office policies and procedures
- Analyze and monitor internal processes
- Oversee adherence to office policies and procedures
- Manage internal staff relations
- Monitor and maintain office supplies inventory
- Record and distribute all meeting minutes
- Assist with the fundraising related activity conducted by the Foundation
- Monitor reports related to human resource that includes daily biometric attendance, leaves, and trainings
- Maintain a safe and secure working environment
Communication and Documentation
- Ensure detailed and timely documentation of all human resources information
- Ensure effective communication to the team members regarding office procedures
- Manage all administrative related documents and reports
REQUIRED QUALIFICATIONS:
- Atleast a Bachelor’s degree in Business or Management or any other relevant field
- Minimum 3 years of progressively responsible professional work experience in office administration
- Familiarity with and a supportive attitude towards processes of organisational strengthening
- Excellent communication skills, and proficiency in both English and Nepali
- Keen analytical skills, solution and problem solving oriented. Sound decision making skills
- Able to work in a team and independently
- Detail oriented and punctual
- Good interpersonal skills and result oriented
- Work experience with MS Office applications is a must
